The Opportunity
We are recruiting an Administration Assistant to support a Water Services Major Projects business unit. This is a key coordination role within a fast-paced, multidisciplinary programme environment, supporting leadership teams across major UK water infrastructure projects.
You will play a vital role in ensuring the smooth running of project administration, meetings, events, and stakeholder coordination across a dynamic delivery programme.
Key Responsibilities
- Provide day-to-day administrative support to programme leadership teams
- Manage diaries, calendars, and meeting coordination for senior stakeholders
- Organise meetings, workshops, and events (agendas, logistics, venues, catering)
- Prepare meeting packs, presentations, and supporting documentation
- Maintain action trackers, records, and distribution lists
- Support communication and information flow across project teams
- Coordinate hybrid team activities, away days, and leadership events
- Assist with document management and programme filing systems
- Ensure efficient and professional delivery of all administrative processes
Essential Skills & Experience
- Previous experience in an Administrative Assistant, Team Coordinator, or Executive Assistant role
- Strong organisational and time management skills
- Excellent communication and interpersonal abilities
- Ability to manage multiple priorities in a fast-paced environment
- Confident supporting senior stakeholders and leadership teams
- Strong Microsoft Office skills (Outlook, Teams, Word, Excel, PowerPoint)
Desirable Experience
- Experience within infrastructure, engineering, utilities, or project environments
- Exposure to large programmes or multidisciplinary teams
- Experience supporting hybrid working coordination and event planning
